Main Duties

Key Responsibilities:

• Greet and welcome visitors, clients, and vendors with a positive attitude.
• Manage the sign-in process and ensure all visitors receive appropriate identification.
• Answer and direct incoming phone calls in a courteous and efficient manner, taking messages as necessary.
• Handle general inquiries and provide accurate information about the organization’s services and facilities.
• Perform general clerical duties, including photocopying, filing, scanning, and data entry.
• Assist with scheduling meetings, booking conference rooms, and preparing meeting spaces.
• Support various departments with basic administrative tasks, such as organizing documents or assisting with data management.
• Manage incoming and outgoing mail, packages, and couriers
• Maintain and update the office calendar, including meetings, events, and important reminders.
• Schedule appointments and coordinate with other staff members to avoid scheduling conflicts.
• Monitor and maintain office scheduling platforms, ensuring accuracy and timeliness.
• Keep the front desk and reception area organized, tidy, and stocked with necessary materials.
• Monitor inventory of office supplies and place orders as needed to maintain stock levels.
• Maintain a clean and professional office environment, coordinating with cleaning and maintenance services.
• Act as the first point of contact for clients, providing a professional and friendly demeanor at all times.
• Address client or visitor concerns promptly and professionally, escalating issues to management when necessary.
• Manage feedback and respond to general queries to maintain client satisfaction.
• Operate and maintain office equipment such as telephones, copiers, printers, and computers.

Other Requirements

Qualifications:

• Certificate/ Diploma in business Administration, front office or any other related field
• 2+ years of experience in an administrative or front desk role.
• Experience in customer service or client-facing roles is an advantage.
• Excellent verbal and written communication skills.
• Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and familiarity with office equipment.
• Strong organizational and multitasking abilities.
• Ability to maintain confidentiality and professionalism.
• Friendly and approachable personality with a customer service-oriented mindset.
